The RP Local Delivery Date calendar subscription lets you view your store's scheduled delivery and pickup orders in a calendar application without manually importing every order.
The integration uses a standard iCalendar (.ics) subscription feed. After you subscribe, your calendar application periodically checks the feed and adds or updates events. Calendar providers control how often these checks occur, so changes may not appear immediately.
Before you begin
Copy your calendar subscription URL from RP Local Delivery Date. Treat this URL as private: anyone who has it may be able to view the order information included in the calendar feed.
Always add the URL as a subscription. Downloading and importing an .ics file creates a one-time snapshot that will not stay synchronized.
What information appears in the calendar?
Each eligible delivery or pickup order is represented as a calendar event. The exact information shown depends on the calendar settings and information available for the order, but may include:
Order number
Selected delivery or pickup date and time
Customer or recipient details
Delivery or pickup location
Order notes or other configured information
The calendar is read-only. Editing an event in Google Calendar, Outlook, or Apple Calendar does not update the Shopify order or the date selected in RP Local Delivery Date.
Google Calendar
Subscribe
Subscriptions must be added from Google Calendar in a desktop web browser:
Open Google Calendar.
Next to Other calendars, select Add other calendars (
+).Select From URL.
Paste your RP Local Delivery Date calendar URL.
Select Add calendar.
The calendar will appear under Other calendars and will also be available in the Google Calendar mobile app after synchronization.
Refresh behavior
Google controls when subscribed calendars are refreshed. Google does not provide a setting or button to change or force the refresh interval. Updates can take several hours and may sometimes take approximately 24 hours to appear.
Importing a downloaded .ics file is not the same as subscribing. Imported events are a one-time copy and will not receive later updates.
Outlook and Microsoft 365
Subscribe in Outlook.com or Outlook on the web
Open Outlook Calendar.
Select Add calendar.
Select Subscribe from web.
Paste your RP Local Delivery Date calendar URL.
Enter a calendar name and choose any available display options.
Select Import or Import and save.
Refresh behavior
Microsoft states that Outlook.com subscriptions should update approximately every three hours. Outlook on the web for some work or school accounts may update approximately every six hours. In either case, Microsoft warns that an update can occasionally take more than 24 hours.
Users generally cannot choose a shorter cloud refresh interval. Classic Outlook desktop behavior can also depend on its Send/Receive and account settings, but this should not be relied upon for immediate synchronization.
Do not use Upload from file if you need ongoing updates. Uploading imports a one-time snapshot; Subscribe from web creates the continuing subscription.
Apple Calendar
Subscribe on iPhone or iPad
Open the Calendar app.
Select Calendars.
Select Add Calendar.
Select Add Subscription Calendar.
Enter the RP Local Delivery Date calendar URL.
Follow the prompts and select Add or Done.
Choosing iCloud as the account makes the subscribed calendar available on other devices signed in to the same Apple Account.
Subscribe on Mac
Open the Calendar app.
Select File > New Calendar Subscription.
Paste the RP Local Delivery Date calendar URL and select Subscribe.
Choose a name, color, location, and refresh setting.
Select OK.
Refresh behavior
Apple Calendar on Mac gives users the most control over subscribed-calendar refreshes:
Control-click the subscribed calendar in the calendar list.
Select Get Info.
Choose an option from Auto-refresh.
To request an immediate refresh on Mac, select View > Refresh Calendars or press Command-R.
iPhone and iPad do not provide the same per-calendar refresh interval setting. Refreshing is handled automatically.
Refresh comparison
Calendar service | Can the user choose the refresh interval? | Expected behavior |
Google Calendar | No | Google-controlled; updates may take several hours and sometimes around 24 hours |
Outlook.com | No | Approximately every 3 hours; occasionally more than 24 hours |
Outlook on the web (work or school) | No | Approximately every 6 hours; occasionally more than 24 hours |
Apple Calendar on Mac | Yes | Select an Auto-refresh interval or refresh manually |
Apple Calendar on iPhone or iPad | No per-calendar setting | Refreshed automatically |
Refresh times are controlled by the calendar provider and are not guaranteed by RP Local Delivery Date.
Choosing the right option
An .ics subscription is a good choice when you want:
A simple, read-only calendar view
No direct Google or Microsoft account connection
Automatic background updates where a delay of several hours is acceptable
Compatibility with multiple calendar applications
An .ics subscription may not be suitable when:
New deliveries must appear within minutes
Dispatchers depend on the calendar as their only real-time operations screen
Calendar edits must update Shopify orders
You need guaranteed delivery of updates or two-way synchronization
For time-sensitive activity, use the RP Local Delivery Date dashboard or Shopify admin as the source of truth. If your workflow requires near-real-time or two-way synchronization, contact Rose Perl Technology to discuss available integration options.
Troubleshooting
A new or updated order has not appeared
Confirm that the order and its selected date appear correctly in RP Local Delivery Date or Shopify admin.
Confirm that the subscribed calendar is visible and enabled in your calendar application.
Allow time for the calendar provider's next refresh.
On a Mac, use View > Refresh Calendars to request an immediate update.
Verify that you subscribed using the URL rather than importing a downloaded
.icsfile.
The calendar never updates
Remove the calendar and add it again using the subscription instructions above. Before doing so, confirm that you have the current RP Local Delivery Date subscription URL.
Events are duplicated
Check whether the feed was added more than once or whether events were first imported and then added again through a subscription. Remove the duplicate subscription or the previously imported events as appropriate.
The subscription URL does not work
Make sure the complete URL was copied without extra spaces and that it begins with https://. If the URL may have been exposed or is no longer valid, generate or request a replacement URL and update each subscribed calendar.
Security and access
The subscription URL acts like a private access link. Do not publish it, post it in a public support request, or share it with anyone who should not see the calendar information. If someone who previously had access should no longer receive calendar updates, replace or revoke the feed URL in RP Local Delivery Date, when that option is available, and remove the subscription from their device.
Need help?
Contact Rose Perl Technology LLC at [email protected]. Include your Shopify store domain, the calendar application and device you are using, when the affected order was created or changed, and whether the event is missing, outdated, or duplicated. Do not send your private subscription URL unless the support team specifically requests it through an approved support channel.
Additional calendar-provider guidance
Calendar menus and refresh behavior may change as Google, Microsoft, and Apple update their services.
